The true measure of fundraising success isn’t landing the first major gift—it’s turning that milestone into years of partnership and impact. In my experience, donor retention is where the real transformation happens, yet it’s often overlooked by busy teams focused on acquisition. In this edition of Scaling Major Gifts, I want to talk candidly about why donor retention matters and lay out proven steps any nonprofit leader can take to nurture lasting relationships.

Why Major Donor Retention Is Mission-Critical

As someone who's spent nearly three decades raising major gifts, I can tell you firsthand: getting that first big check is a thrill, but it’s just the starting line. Retaining major donors doesn’t simply benefit your bottom line—it transforms how you sustain and scale your mission. Acquiring a new major donor costs five to ten times more than retaining an existing one, and repeat donors bring more than money—they champion causes, open doors, and become powerful advocates for your organization.

Recent numbers drive this home. Donor retention rates hover around 45%, but jump to over 60% for repeat donors in the major gift space. Retained donors are your perennial garden—they endure because relationships flourish, not just transactions.

Common Barriers: Pain Points I See Every Day

Let’s face it, retention hurdles aren’t unique to big shops. Whether in a national organization or a one-person operation, I regularly see these stumbling blocks:

  • Transactional Relationships: Gifts treated as single events, not the beginning of a journey

  • Lack of Personalization: Generic thank-yous ignore individual donor motivation and interests

  • Inconsistent Stewardship: Stewardship falls off the to-do list when things get hectic

  • Limited Data Tracking: If you’re stuck in spreadsheets or have gaps in donor records, critical details and connections get lost

These obstacles are real—but absolutely conquerable.

Four Cornerstones of Donor Retention

Here’s the framework I use and teach:

1. Build a Culture of Gratitude

Gratitude shouldn’t just be perfunctory—make it prompt, heartfelt, and specific. In my experience, asking board members to call or write personalized notes multiplies the impact. This not only makes donors feel valued, it pulls board members closer to your mission.

2. Personalize the Journey

Donors are not ATMs—they’re individuals. One approach I’ve seen work well is segmenting donors by history, interests, or giving level using a CRM, then sending tailored communications: birthday cards, news about their favorite programs, or even sharing a great book or recipe if it suits their passions.

3. Report Back with Impact

Regular, meaningful updates are your watering can. Donors want concrete evidence of their “return”—not just numbers, but stories, photos, and authentic video messages. The Fundraising Effectiveness Project shows that donors who receive impactful updates are 40% more likely to give again.

4. Create Opportunities for Deeper Engagement

Donors who are invited to campaign committees, volunteer roles, strategy sessions, or exclusive events become true partners. I encourage creating giving societies and inviting donors into conversations that let them help steer the mission.

IRL: Transforming a Single Gift into a Ripple Effect

A few years ago, I worked with an organization that landed a first-time major gift from a donor we barely knew. Instead of sending a generic thank-you, we invited her for a personalized tour, introduced her to staff and beneficiaries, and followed up with a video message tailored to her interests. Next year—not only did she renew at a higher level, she brought two new major philanthropists into our orbit. Stewardship wasn’t just a task; it was an experience, and it paid exponential dividends.
